Introduction

Smart Working or Digital Nomad is the lifestyle goal for this epoche to many people. The dream of working remotely from the beach side, surfing the waves of opportunities and freshening up in some restaurant with seasonal fruits and vegetables to regenerate and replenish your energy.

This can quickly turn into a nightmare for perfectionists: imagine flying oversees and forgetting crucial documents, being in a place with unstable connection or not being able to focus fully on your outputs. To boost productivity and help you with all types of unexpected issues I have compiled a simple seven step plan filled with top notch secrets to organize your Smart Working routine and optimize your workflow in remote working locations.

Overview

  1. Preparation bundles is the key to success

  2. Create a Worksflow Rhythm and work in cycles

  3. Take time to get into your creativity flow

  4. Eat healthy, exercise and replenish your energy

  5. Track your successes and choose a group to celebrate these successes with you

  6. Have a group of mentors to analyze your successes with you to optimize time

  7. Let everything go and take time for exploration & boost networks

Preparation bundles

Have you ever felt like lack of inspiration and stuck in front of a white piece of paper? The flow of energy is crucial to create valuable outputs - whatever their nature may be. People who are against Smart Working often criticize that smart working is less productive. However, if you prepare your tasks specifically they may add lots of value.

For example: say you had an article to write about a specific topic instead of placing yourself in a smart working location without preparation imagine gathering articles, writing a mind map and preparing current articles on the topic and stacking them into a bundle (both digital or print version) to have everything ready? This will optimize your workflow because you will be full of inspiration and ready to produce.

Furthermore, surround yourself by inspiring people go to exhibitions, enjoy the state of the art in historic libraries and go for many inspiring walks to make the energy flow in all your senses.

So in general prepare your thematic materials before producing your specific planned output for the smart working session and prepare your workflow and get into your flow.

  • organizer with specific materials / file with articles

  • Prepare worksflow with vibrant thoughts

  • Discuss topic in networking sessions

  • Get into your flow

Workflow Rythms and work cycles

Digital Nomad lifestyles are a lot about self-organization and time management. Many repetitive tasks need to occur otherwise harsh consequences can occur if these tasks are not completed within a specific deadline (such as fiscal statements, insurance, documentation to clients etc.). One clear way to simplify this is to create specific workflow rythms and work cycles this ameliorates time management and may contribute to automation and delegation of tasks.

How do you create optimum workflow rythms? Firstly, set a time frame. This can be for a fiscal year, a season or scheduled by semesters. This really depends on your type of job and the clients and companies you work with. Let’s say you choose to organize by fiscal year: then you need to make a list of needed outputs and prepare on reacurring basis such as monthly the different workflow sessions that then lead up to the final output. So for instances bookkeeping on a monthly basis and collecting receipts and creating balance sheets. The workflow will occur for instance on a weekly basis at the same time and with the same task. In this way everything that is connected to this specific task is filed into a specific organizer and managed during the work flow sessions.

This method has three key benefits:

  1. It keeps the task fulfilled

  2. It will not clog your energy by having to think/ worry about it

  3. It becomes an automated task and will not weigh on you

Bonus: find a mentor/ an expert which helps you manage the output of the task to make it better over time. This will help you ameliorate and increase your efficiency and comfort with the task.

Workflow rythms can be created with any output and reoccurring task of course it’s not just connected to fiscal statements but can range over any various element in business but also in private life.

  1. Getting into the flow

Apart from humbling repetitive tasks getting into the flow zone may be the most exiting and vibrant part of of Digital Nomad lifestyle. While office workers are often stabbed by the perceived boredom of routine, discipline and grey buildings the stage of digital nomads is that of endless beaches, sunsets and vibes. Image set aside the truth is that creating a safe vibing zone is crucial to get into the workflow or translating the creative spurt into tangible outputs.

How to your turn vibe into outputs then? This is the all time question. Clearly, a surfers, skier and swimmer all have one thing in common at their peak performance they get into a rythm which sparks joy, is endurable and creates momentum to continue for extended time despite the difficulty of the task. The translation of a vibe into an output then despite its seeming difficulty is seen from outside make easy because the vibe shows the effortlessness the digital nomad has due to its vibing flow. Therefore, the digital nomad actually is more productive than a “normal” worker, because the vibe provides endurance, stability and transforms opportunity into potential.

To get into the flow many artists, philosophers, athletes etc. have created infinite techniques ranging from meditation, to training, to letting the mind free to roam. In general, to create easy workflow all mind needs to be free a space needs to be clean and nice background music may be exactly what sets you off. However, every digital nomad might have their own method in getting into the flow.

  1. Healthy lifestyle healthy Mind

A well balanced work-life balance is the key success. “Mente sana in corpore sano”. You can reach your full potential when you actually set yourself up for success by preparing your body to the maximum potential. Being prepared for a cycle of management meeting, creating high value outputs and being on top of all administrative and management decisions is crucial as independent worker and business owners. Furthermore, keeping a healthy work-life balance is important while optimizing time management. When having a healthy lifestyle and great eating, workout and lifestyle with purpose accentuation you are truly hitting it.

So how do you maximize work-life balance and lifestyle? It all lines up with information, smart choices and discipline/ soft-cycle management. Keeping your to-do lists empty is important so your lifestyle needs to be managed cyclically to not become a task or burden but easily implemented in improving cycles. Starting from the current situation setting tools to steady improvement leaving space for spontaneity and adventure.

Basis is good and strong eating habits based on high protein intake to maintain muscle mass and keeping satiated and basing on season vegetables, fruits and leading to a low acidic diet with long term benefits. See article on healthy nutrition here: (link) going to weekly farmers markets or having a delivery of fruits and vegetables is ideal to optimize work-life balance. Eating habits to three times per day with several fruits and vegetable servings is good indication for steady program.

Movement is important and draining excess liquids and toxins out of the body through sweat by workouts or sauna/ heat exposure is good to keep the system clear.

Detoxing in the mental field and de-wiring is also important by for instance going to a concert, listening to music, walking long distance, watching sunsets or ant thing that does you well. Comment below to add your suggestions.

  1. Track your successes and choose a group to celebrate these successes with you

In life discipline is very important to achieve your successes however there is one thing which is even more impactful: adrenaline and endorphins kicks. These are induced when getting used to celebrating your successes with a group of supporters which can be your team, your family, your sports group or any other relevant group in your life.

Track your successes through specific metrics is great using statistics, track records, number of sessions. The successes are in relation to your goals and outputs and metrics need to be taken in relation to your goals. However here are some examples of metrics that may be used to track your successes:

Examples:

  • number of views #

  • Number of sales #

  • Conversion rate %

  • Rate over return x/y

  • Impact calculation %/ #

When reaching a goal it is crucial to inform, track and celebrate the outputs with your dedicated group and increase the positive emotion which will keep you protected with a Ray of positivity which will protect you in darker, heavier and more difficult days where the hopes need to be kept high.

As a creator this will keep your energy levels infinitely high without the need to be replenished or risk of burnout because they are based on positive value streams that will create a positive closed circuit reigning through high voltage energy levels. Note: some times it’s hard to start out but once you get into your flow it is not hard to optimize.

Which financial goal will make you satisfied?

Will wealth really make you happy? Studies show that after being able to cover your expenses your happiness does not depend on your wealth. So why necessarily focus on maximizing profits when it is scientifically shown that this does not increase happiness? In many countries on macroeconomic level we compare the GDP while determining the success of a country the GDP or Gross Domestic Product indicates the productivity of a country. In Bhutan, instead they measure GDH - Gross Domenstic Happiness Index. How would our priorities change if we were to compare our happiness rather than our salaries or wealth?

  1. Have a group of mentors to analyze your successes with you to optimize time

As they say, feedback is the breakfast of the winners. Having clarity in the work zone is crucial to success & balance - whatever your measure of success is.

Benefits of working with mentors

A mentor can help you find clarity, find your path and filter out distractions, unclear emotions, whilst highlighting key elements and milestones, recognize important opportunities.

Knowledge mentors - also used in the European Union Projects - can help you stay on top of key research findings and implementing those in your current projects staying at the most recent point of current research and making the economy lead and thrive through economic growth using innovation.

Mentors can be knowledge specific to specific nutshell topics so it might be beneficial to have a series of mentors on different projects and defining clear mentoring goals and catering the flow of information through small summaries to keep the mentor informed about current progresses whilst being specific on their expertise fields and their priorities while reporting to them. The reports might include (but are not limited to):

  • State of project level advancement 0-100% of initial goals

  • Progress of key milestones

  • Funding goal(s) & progresses

  • SWOT Analysis

  • Team members & progress levels & mentorship needs

  • Stakeholder Analysis & Networks

  • Communication Strategy Targets

  • Management achievements & limitations

Bonus: best presentation is visually so charts, reports, pictures are best for presentation. Also if you have a group of mentors and not everyone can attend it may be useful to make a video of the presentation and send it via video and/or post it on relevant communication channels in an appropriate format.

Reporting to pool of mentors

  • Present key goals and state of achievements

  • Statistics

  • Proof of concepts

  • Needs & growth potential

  • Close with wishes and future development needs

  • Communicate during in-person presentation

  • Create handout/ slides / liporello / and illustrations

  • Communicate on relevant social media pages

  • Connect, analyze, evaluate & reflect

  1. Let everything go and take time for exploration & boost networks

In the end it all comes down to this: we all have only one life to live so we have the moral duty to make the most of it. For several maybe different personal reasons for each of us:

Why we have the moral duty to make the most of ourselves:

  • Because generations of people have fought for our freedoms such as the right to vote, the right to education and the right to own property

  • Because we owe it to our parents who have raised us perhaps making sacrifices on their personal lives, professional lives, financially or otherwise

  • Because as women in the EU we have never had as many rights as today which generations of women have taught for before us such as the right to vote, the right to own property, the right to own a business, the right to drive and the right to live a happy life

  • Because we ought to create a world in which these rights and the preservation of our rights, nature and cultural heritage are passed on to future generations

So to make space and time for these reflections and taking space and time to find your purpose at the end of the day make time to explore, reflect, discover and boost your networks while traveling and getting to know the world while supporting those who might need inspiration or are simply having a bad day and do not know where to start. Because being positive, supportive, comprehensive and kind to each other is important, because you never know what they might be dealing with whilst still being independent and standing tall on your on achievements and stability.

So let everything go once you’ve completed your tasks and start your journey.
